Setting Up Your Account

Register at thegalleryviewer.com — you can sign up with email/password or via Google or Facebook. Once your email is verified your dashboard is ready to use.

Creating Your First Gallery

• Go to Galleries in your dashboard
• Click "Create New Gallery"
• Add a title, description, and cover photo
• Upload your photos (drag-and-drop, single, or bulk select)
• Set privacy — Public, Private, or Shared
• Publish your gallery

Creating Your First Event

• Go to Events in your dashboard
• Click "Create New Event"
• Fill in the event name, date, location, and cover image
• Attach one or more galleries to the event
• Send invitations to attendees

Gallery Privacy Options

• Public — anyone can find and view your gallery
• Private — hidden from public browsing and discovery; you decide who else can get in
• Shared — give access to anyone with a direct link
• Invitation Only — give access to specific people you've explicitly invited

Uploading Photos

• Upload multiple photos at once — uploads run concurrently with live progress
• Drag and drop — drop files directly onto the upload area
• Supported formats: JPEG, PNG, WebP
• No watermarks on any plan — free accounts are limited on download quality for viewers, not visual branding

Organising Photos

• Reorder photos by dragging them in the gallery editor
• Add captions and descriptions per photo
• Set a featured/cover photo for the gallery
• Delete unwanted photos individually or in bulk
• High-resolution downloads available on Plus plan and above

Supported Event Types

• Weddings — perfect for wedding photography and guest photos
• Birthdays — celebrate special occasions
• Corporate Events — business meetings and company gatherings
• Parties — social gatherings and celebrations
• Conferences — professional events and seminars
• Other — any custom event type

Event Fields

• Event Name — a clear, descriptive title
• Description — details about what the event is
• Date and Time — when the event takes place
• Location — where it happens (venue name or address)
• Cover Image — a representative banner or photo
• Visibility — Public or Private

Managing Event Galleries

• Create separate galleries for different parts of the event
• Attach existing galleries or create new ones from the event page
• Each event counts against your plan's event limit
• Free plan: 1 event. Personal: 2. Plus: 5. Creator: 15. Pro: unlimited

Types of Invitations

• Event Invitations — personalised email invites for a specific event
• Gallery Share Links — shareable link granting access to a private gallery
• Bulk Invitations — send to multiple recipients at once from a guest list

Share Link Permissions

• View-only access — guests can view but not download
• Download access — guests can download high-resolution photos (Plus+); the original file always stays available to the gallery owner regardless of plan
• Comment access — guests can leave comments on photos
• Expiry dates — set a time limit on any shared link
• Revoke at any time — invalidates the link immediately

Invitation Builder

• Available on all plans — drag-and-drop template editor
• Personalised messaging and event details included automatically
• RSVP tracking — see who has viewed and responded
• Invitation analytics on Creator and Pro plans

What the AI Assistant Can Do

The AI assistant is available in your editor dashboard on Plus, Creator, and Pro plans. It answers questions about your own events, galleries, photos, shares, and engagement — with deep links back to the relevant dashboard pages.

• "Which of my galleries has the most views?"
• "Show me my invitation stats for the wedding event"

• "Which photos have the most likes?"

AI Usage Limits by Plan

• Free / Personal — AI assistant not available
• Plus — 15 messages per day
• Creator — 40 messages per day
• Pro — 150 messages per day

Account Security

• Change your password from Settings → Security at any time — this signs you out of your other devices, and we'll tell you so
• Sign in with Google or Facebook, in addition to email and password
• See every device you're signed in on, and sign out any of them individually, from Settings → Security → Signed-in devices
• All sessions use secure bearer tokens — no cookies stored on disk
• Session ends automatically when you close your browser tab

Photo & Gallery Privacy

Photos are stored securely on Wasabi S3-compatible cloud storage. Signed URLs expire after a short window — even if someone copies a direct photo URL, it will stop working. Public galleries are accessible to anyone with the link. Private galleries require an explicit invitation. We never sell or share your photos.

Data Retention & Account Deactivation

• Your data is retained for as long as your account is active
• Deactivate your account any time from Settings → Security — this suspends your account, hides your content, and signs you out everywhere, but does not delete your data
• We do not currently offer self-service permanent account or data deletion
• Reactivating a deactivated account is done by contacting support
• Billing records are retained as required by law

Payment

• Payments processed via WiPay (Caribbean payment gateway)
• Pricing shown in Trinidad & Tobago dollars (TTD); USD equivalent shown at checkout
• Annual billing saves 20% vs monthly billing
• Plans do not renew automatically — no card is kept on file. We'll email you as your renewal date approaches; renew by returning to your billing page and completing a new payment

Billing & Cancellation

• Upgrade or downgrade your plan at any time from Billing in your dashboard
• Cancel anytime — your plan stays active until the end of the period you already paid for
• If you don't renew, your account simply moves to the Free plan — your content isn't deleted, Free limits just apply going forward

Profile Settings

• Update your name, email, username, and contact information
• Upload a profile picture and banner image
• Add a bio and links to your social profiles
• Control who can see your public profile page

Notification Preferences

• Email notifications — choose which emails you receive
• In-app notifications for new comments, likes, and invitations
• Browser push notifications (optional — enable in Settings)
• Storage usage warnings when approaching your plan limit

Account Deactivation

• Go to Settings → Security → Danger zone
• Read the "what happens" summary and tick the acknowledgement checkbox
• Enter your password, type DEACTIVATE to confirm, and submit
• Your account is suspended and you're signed out everywhere — your data is kept, not deleted
• Contact support any time to reactivate

Photos Not Uploading

• Check your internet connection is stable
• Ensure the file is JPEG, PNG, or WebP format
• Max file size by plan: Free 15 MB · Personal 25 MB · Plus 50 MB · Creator 100 MB · Pro 250 MB
• Clear your browser cache and cookies, then retry
• Try a different browser (Chrome or Safari recommended)

Can't Access a Shared Gallery

• Check you are using the correct and complete share link
• Verify the link has not passed its expiry date
• Confirm the gallery is still published and active
• Contact the gallery owner to resend or refresh the link

Login Issues

• Double-check your email address and password
• Use "Forgot Password" to reset via email
• If you signed up with Google or Facebook, use that button — not email/password
• Clear browser data or disable extensions temporarily
• Contact support if you no longer have access to your email
